How to contact a member of Council Council members may be contacted by telephone at their individual telephone numbers or by sending an email, facsimile or letter to the City Clerk's Department. Back to the Top Public attendance at Council Meetings The Urban Municipality Act, 1984 requires that all regular and special meetings of a Council must be open to the public. No person can be excluded from the meeting, except for improper conduct. The front doors to City Hall (on Main Street) are open on Mondays at approximately 6:00 p.m. Some people choose to be present during the entire Council meeting, however, some choose to be present only when items of interest pertaining to them are being discussed. Back to the Top How to make an application to appear before council Correspondence to Council may be addressed: Mayor and City Council, c/o City Clerk's Department, 228 Main Street North, Moose Jaw, Saskatchewan, S6H 3J8. Correspondence may be mailed to the above noted address or delivered to the City Clerk's Department. Correspondence intended for Council must be received by the Clerk's Department by 12:00 noon the Thursday prior to the Monday Council meeting which you would like your item discussed. Exceptions to this would include if background information on the subject matter is required from the City Administration in order for Council to make an informed decision. In this case, the Clerk would correspond with the writer of the letter and advise that his matter is being referred to the appropriate department for further information and he will be notified when his matter will be considered by Council. Letters to Council should include your first and last name, your mailing address, phone number, date, signature and details surrounding your request. The Communication pertaining to your request and the approximate time that Council will be discussing your Communication will be available to you the Friday afternoon before the Council meeting. A copy of the Communication may be picked up from the City Clerk's Office, or upon request, can be faxed to you. Items that are lengthy or have numerous maps and attachments will not be faxed and must be picked up. Back to the Top Decisions of City Council Prior to the Council meeting, members of Council will review your letter and the administrative comments regarding your item. A decision regarding your item will usually be made at the Council meeting. However, there are occasions when additional information will be required before Council can make an informed decision. In this event, the item may be tabled or referred to a future Council meeting pending receipt of additional information. Following the Council meeting, the City Clerk will advise you by way of letter of Council's decision respecting your item. Back to the Top Audio Visual Equipment Audio visual equipment is available for use at Council meetings. Please notify the Clerk's Department as soon as possible in order that preparations may be made for use of the equipment.
